Data File Compliance Statement
Effective date: June 11, 2026. This statement applies to all uploaded mailing lists, recipient data, campaign data, customer data, seed lists, address files, and related materials.
Customer certification
Customer certifies that all uploaded data files, mailing lists, recipient information, and related materials were lawfully obtained and may be used for the requested print, mailing, fulfillment, campaign, or reporting purpose.
Customer responsibility
Customer is solely responsible for compliance with all applicable privacy, data protection, campaign, election, consumer-protection, and postal laws.
Restricted data
Customer agrees not to upload data that is unlawfully obtained, restricted from use, prohibited from processing, or unnecessary for the requested job purpose.
Plavidian use
Plavidian will use uploaded data only for production, mailing, fulfillment, postage documentation, reporting, customer support, quality control, audit, and related business purposes.
Portal controls
- Secure login is required for customer uploads.
- Customer users are restricted to jobs/files for their assigned parent company account.
- File uploads, downloads, proof approvals, job changes, and terms acceptance are logged with the acting user when available.
- Mailing list data is not displayed publicly.
- Admin retention/deletion controls may be used for old customer files.
- Uploaded files should be stored using encrypted cloud storage where available.
Examples of permitted processing
CASS, DPV, NCOA, dedupe, householding, carrier-route preparation, presort, walk sequence, addressing, IMb generation, postage statements, Mail.dat/eDoc, production reporting, postal reports, support, reorders, and audit trails.
